Frequently asked questions about quotes

How do I write a professional quote?

Fill in your details and your client’s, add one line per job with its quantity and price, switch on the taxes that apply to you and press “Generate quote”. You will see the finished document and can download it as a PDF.

What should a quote include?

Who issues it and who receives it, a quote number, the date, itemised work with quantities and prices, any taxes, the total and the terms (payment method and how long the price holds).

Do I have to add VAT to a quote?

It depends on your activity and your country, since rates and exemptions differ across the EU. You can switch VAT on or off and edit the percentage freely; check your case with an accountant.

When does withholding tax apply?

In some countries freelancers must show a withholding line when invoicing companies, and the payer forwards that amount to the tax authority. Switch it on only if it applies where you work.

How long is a quote valid?

That is up to you: 15 to 30 days is common. State it in the validity field so the client knows how long the prices hold.

Is it free, and what happens to my data?

It is free and there is no sign-up. Everything runs in your browser and stays on your device: neither the text nor the logo is sent to any server.

Can I add my logo and export a PDF?

Yes. Upload your logo in your details and press “Download PDF”: your browser’s print dialog opens and you pick “Save as PDF”. Layout, amounts and logo are kept on A4.
